Maintenance of Personal Information. Each policyholder will have paper and electronic files prepared and maintained on their behalf and stored in our agency and on our computer file servers. Our computer records are protected by virtual private network/ security and firewall software which are updated periodically. Occasionally an agent with our agency may need to remove your file, or portions of it, from the premises to meet with you or a member of the company that insures you. In each instance that agent is required to place a check out card where your file is stored indicating that they have your file in their possession, and why. We periodically purge each paper file for unnecessary and duplicate data. Any document with sensitive data is shredded prior to disposal.

Disclosure of personal Information. We will not disclose any sensitive policyholder information with any outside source, unless ordered to do so by a court of law. This information includes but is not limited to our policyholder names, addresses, social security numbers, dates of birth, driving records, policies owned, and coverage limits. An outside source is hereby meant to mean any third party outside of the companies we approach in order to obtain insurance or financial security quotes, products or policies on behalf of you, or a third party (ex. bank or mortgage company) that has an interest in your property or business.

Account Changes. Only our policyholder or a member of their family, who is also listed as an insured, or a designee of the policyholder made in writing may call to discuss any pertinent information about your account. We may ask questions in an attempt to verify the person who we are talking to. We will require a written order from you to remove any coverage or to cancel a policy. We will accept a verbal order to remove a vehicle or to add any coverage or vehicle, such as a new purchase, from you, or a member of your family that is listed as an insured on your policy.

            Each agent or service representative will keep an active daily phone log and call from you,                             

            your designees, and third parties. Each agent or service representative will also use an electronic log to            

           log in any changes made and why to any policy you may have in force.

Do Not Call Lists. In order to adhere to do not call laws, our agency will place any and all telemarketing calls through the Gryphon Network, which blocks calls to registered phone numbers. This policy does not apply to calls made to existing policyholders, or prior policyholders within prescribed time limits, or to individuals who have granted us permission to call them. At any time, we may call policyholders to discuss existing policies or make policy recommendations.

Physical Security. At the end of the day, we will lock our office doors and windows and set any security systems, where applicable. Each agent will take every effort to keep any confidential policyholder information out of sight of other unauthorized individuals who are in the office. Each agent will store computer access codes in a confidential manner.

Privacy Statement Information. The policies in this document are effective March 1, 2005. We reserve the right to change this notice at any time and in any manner that is permitted under applicable law. Everyone who receives a quote from our agency where protected information is involved will receive a copy of the applicable company’s privacy statement in addition to this document. Our agency will provide a copy of our privacy statement to vendors who have access to our systems or premises and will refrain from working with vendors who do not adhere to our privacy policies.
